AJIO seller guide
Keeping AJIO Inventory and Order Sheets in Sync
Most AJIO operational problems trace back to stale data: old inventory numbers or old order sheets.
Daily sync
Update AJIO inventory from your physical stock every day, and more often during sales.
Latest order sheet
Download the open orders Excel right before printing labels. Orders cancelled since your last download must not be shipped.
Automated matching
The AJIO label crop removes labels without open quantity and lists them in an error file.
Why stale data is expensive
Old inventory numbers lead to orders you cannot fulfil (cancellations). Old order sheets lead to shipping cancelled orders (lost stock and shipping). Both are avoidable with a fixed daily routine.
A simple sync routine
- Count or reconcile physical stock for fast movers daily.
- Update AJIO inventory after packing each day.
- Download a fresh open-orders Excel immediately before processing labels.
- Review the error file and check flagged orders in the portal.
Multi-channel selling
If the same stock sells on Myntra, Flipkart or your website, use an inventory tool or a single master sheet updated after every batch.
Choosing an inventory approach
Small brands often start with a master spreadsheet: one row per SKU with physical stock, reserved stock and stock listed on each channel. As orders grow, an inventory or order management tool that connects to marketplaces reduces manual updates and errors. Whatever you use, make one person responsible for the daily update so it never gets skipped.
Cycle counting
Instead of a full stock count once a year, count a few bins every day so the whole warehouse is counted every few weeks. Cycle counts catch mismatches early, before they cause cancellations.
Reserving stock for events
Before AJIO events, decide how much stock to reserve for AJIO so other channels do not sell it first. Update AJIO quantities accordingly and monitor during the event.
What to do when a mismatch is found
If physical stock is lower than listed, reduce the listed quantity immediately and check recent orders for that SKU. If higher, find the cause – an unrecorded return or a miscount – and correct the sheet.
Checklist
- Daily inventory update
- Fresh order sheet before printing
- Error file reviewed
