AJIO Payments and Reconciliation: Make Sure You Are Paid Correctly

Updated 27 October 2026 · 3 min read · By the LabelCroppers team

Regular reconciliation ensures you receive what you are owed and catches deductions early.

What to reconcile

  • Orders delivered vs paid.
  • Commission and fees vs agreement.
  • Returns and reversals.
  • TCS/TDS credits.

Process

Download settlement reports each cycle, match to your order records, and raise discrepancies through the seller support channel within the allowed time.

Tax credits

Marketplaces collect TCS under GST and may deduct TDS under income tax rules. These amounts appear in statements and on tax portals; reconcile them monthly with your accountant so you claim the credits.

Common discrepancies

  • Delivered orders missing from settlements.
  • Commission rates different from the agreement.
  • Return deductions for orders not returned to you.
  • Penalties without clear reasons.

Record keeping

Keep monthly folders with settlement reports, order exports and your reconciliation sheet. They make audits and disputes far easier.

Setting up a reconciliation sheet

Create columns for order ID, invoice value, delivery date, payment date, amount received, commission, fees, returns adjustments and difference. Fill it from order exports and settlement reports. Filter for non-zero differences and investigate them – most are timing differences, but some will be genuine errors worth claiming.

When to escalate

Raise a ticket for any difference you cannot explain after one full payment cycle, attaching the order ID, expected amount, amount received and the relevant agreement clause. Keep a log of tickets and their resolution.

Cash flow planning

Settlements arrive after delivery according to your agreement, and returns are adjusted later. Plan working capital for production, inventory and ads ahead of events, and keep a buffer for the return-adjustment period.

Monthly close routine

  • Export orders and returns for the month.
  • Download settlement and tax credit reports.
  • Match payments to orders.
  • List differences and their likely causes.
  • Raise tickets for genuine discrepancies.
  • File reports for your accountant.

Checklist

  • Settlement report each cycle
  • Matched to orders
  • Discrepancies raised
