AJIO Order Processing: Labels, SKU Matching and Packing Without Errors
AJIO dropship sellers face a daily challenge: labels show order or shipment numbers, not the product. Packers must look up each order to know which SKU and quantity to pack. With many orders, this causes mistakes and delays.
Two label formats
Old AJIO labels carry an "Order#" barcode with a D/X mark. New Dropship labels show a Shipment #, Order ID and FO Order ID. Sellers may see both, depending on how and when labels are downloaded.
Match labels to the order sheet
Download the open orders Excel from the seller portal. For old labels, match the Order ID to "Customer Order Id"; for new labels, match the Shipment # to "Seller Order Id". Only labels with open quantity should be shipped.
Automate with LabelCroppers
The AJIO label crop detects old and new label formats automatically, matches each label to your Excel, stamps "SKU (qty)" on the label, crops to 4×6, sorts by SKU and gives you a picklist. Labels that do not match are removed and listed in an error report.
Picking and packing
- Pick by SKU using the picklist.
- Match the stamped SKU to the product before sealing.
- Pack multi-quantity orders carefully.
- Hand over to the courier on time.
Handling errors
Review the error file daily – common causes are cancelled orders, already shipped orders, or OCR not reading a damaged label. Check these in the portal before shipping anything.
Why matching matters
An order can be cancelled after its label has been downloaded. If that label is printed and shipped, you lose stock and shipping and may face disputes. Matching every label against the latest open-orders sheet before packing prevents this. Keeping the error file lets you double-check those orders in the portal.
Sequence numbers and timestamps
For new Dropship labels, printing a sequence number and the processing date/time on each label helps packers keep order and helps you trace any issue to a specific batch. The AJIO label crop can add both.
Multi-SKU and multi-quantity orders
When one label covers several SKUs or quantities, the stamp lists each SKU with its quantity. Pack these in a tray and double-check before sealing; they are where most errors happen.
Setting up the daily workflow
Pick a fixed time each day for processing – for example 10:00 for the morning batch and 15:00 for the afternoon. At that time, download the latest open-orders Excel and all new labels together. Processing labels against an Excel downloaded hours earlier is how cancelled orders slip through.
Drop all label PDFs into the AJIO crop at once – old and new formats can be mixed. Add the Excel, check the summary (stamped, removed, warnings), print the stamped labels and open the picklist. The picklist tells pickers exactly how many of each SKU to bring to the packing table.
Handling the error and review files
Old-label errors are written to an Excel file with the page, the order ID read from the label, the closest matching ID and the reason. New-label problems appear in a CSV log and an "unmatched" PDF. Go through these before the courier arrives: confirm each order in the AJIO portal, and only ship it if it is genuinely open. Over time, patterns in this file (for example labels downloaded too early) tell you how to improve the process.
Training packers
Teach packers to read the stamp first: SKU and quantity. Every parcel should be checked against the stamp before sealing. For multi-SKU labels, place items in a tray and tick each SKU off. These habits keep wrong-item complaints near zero even when new staff join for peak season.
